Bulk Adding Employee Assignments

In some cases, you may want to quickly assign many employees to a Personnel Requisition (PR) and doing it one-by-one would take a long time. To help, we've introduced 2 methods of quickly creating employee assignments.

 

Method One: Bulk Import

The bulk import method allows you to upload a file containing employees that will be tied to a PR. This action is available to anyone with rights to create employee assignments.

Important Note: An employee assignment that is created using the Bulk Import method will only import once per PR / Start On / End On combination so importing the same list twice for the same PR and Start/End on dates will not duplicate the assignments.

 

 

  1. Navigate to Employee Assignments
  2. Click the Bulk Import button
  3. Enter the Requisition, Start On, End On, and Role fields
  4. Upload a list of employees who will have an assignment created for them (See The Import List below)
  5. Click OK
  6. A list of newly created or updated employee assignments will be displayed
  7. Click OK to complete the import or Cancel if you need to make corrections

 

 

The Import List

When creating a list of employees, you can provide either a CSV file or an Excel file containing the employees to import. These files must follow certain rules in order to upload correctly:

 

  • The employee must be identified by either their Email Address, Employee ID, or their Oid (a system generated identifier)
  • If your file has multiple columns, each column must be identified with a header row where we look for "Employee", "Employee ID", or "Email Address"
  • If using an Excel file, the header row does NOT need to be the first row but all values must be contained in the same column with rows below

Method Two: Copy To

The Copy To method allows you to select an existing Employee Assignment and copy it to other employees. Unlike the bulk import, this one requires you to search and select employees to copy to.

Important Note: Copying an assignment to the same employee multiple times WILL create duplicate records.

 

  1. Navigate to Employee Assignments
  2. Select an assignment to copy
  3. Click the Copy To button
  4. Select the employees that you want to copy the assignment to
  5. Click OK
  6. A list of newly created employee assignments will be displayed
  7. Click OK to complete the import or Cancel if you need to make corrections
