How To: Import Data

To help with initial database setup, certain users can have rights to import data from Excel Spreadsheets. In order to perform the upload, your administrator has to give you rights to upload.

Importing Data

In this example, we will import a list of Students from Excel.

  1. Navigate to Schools -> Students
  2. Click on the "Import from Excel" action in the ribbon (If you don't see Import from Excel, ask your administrator to give you import rights)
  3. The Data Import Wizard will appear and you can choose to upload data either by selecting a file or by manually entering data (Copy & Paste). Select how you want to import data and click Next
    • If you selected Upload from a file, you will be prompted to choose a supported file from your computer. Supported file types are Excel (.xls, .xlsx) or Comma Separated Values (.csv).
    • If you selected Manually enter or past values from Excel, you will be presented with a basic spreadsheet. You can copy and paste data directly from Excel into this sheet.
  4. In the last page of the wizard, you will be presented with a subset of your data. The next step is to map each column to a field in the application.
  5. Right click on a column heading (Example: Unmapped1) and select which field corresponds to the data
    • A field can only be mapped to a single column - if multiple columns map to the same field, data from one will be imported only
    • When selecting a nested field (Example: City -> Name), the import will attempt to find the City record using the Name field and it will create a new City if one cannot be found
    • Because lookup/reference data is created as part of the import, it's essential that your data is consistent and "clean"
  6. Once you have fields matched to each column, click the My Data Has Headers checkbox if the first row contains the column names
  7. Click OK to perform the import (Not saved to the database yet)
  8. Review the imported data in the new window and if it's correct, click OK to complete the import (Saves to the database now)

 

 

Setting up Import Rights (For Administrators)

  1. Navigate to Security -> Staff
  2. Open the record for the Staff Member who needs import rights
  3. Check off "Can Import from Excel"
  4. Save and Close

 

 

Allow Importing Data Per View (For Administrators)

  1. Click on the Tools Tab in the main ribbon and click Edit Model
  2. Expand Views and find the view where you want to allow data to be imported
  3. Set AllowExcelImport to True
